HR Settings

HR Settings provide a way to configure global settings for all HR-related documents.

To access HR Settings go to

Admin > App Settings > HR Settings

1. Employee Settings

1.1. Retirement Age:

You can enter the retirement age (in years) for your employees.

1.2 Employee Records to be created by

The naming of employee documents depends on the option chosen in this field.

  • Naming Series: Employee documents will be named according to the chosen naming series in the 'Series' field.
  • Employee Number: When selecting this option, the Employee Number field will be visible, and the employee documents will be named based on the employee number
  • Full Name:Employee documents will be named using the full name of the employee.

1.3 Stop Birthday Reminders

To prevent the email notification from being sent to all employees when someone has a birthday, you can enable this option.

2. Leave and Expense Claim Settings

2.1 Leave Status Notification Template

When a leave application is submitted or canceled, an email is sent to the employee to inform them about the updated status of their leave application. The email template used for this notification can be chosen in this setting.

2.2 Leave Approver Mandatory In Leave Application

By selecting this option, the 'Leave Approver' field in the Leave Application document becomes mandatory, meaning it must be filled in before the application can be submitted.

2.3 Show Leaves Of All Department Members In Calendar

When this option is enabled, the calendar view will display the approved leaves of all employees in the same department.

2.4 Auto Leave Encashment

When this option is selected, the system will automatically create a draft Leave Encashment record when the leave allocation for encashable Leave Types expires.

2.5 Restrict Backdated Leave Application

Enabling this option will restrict the system from accepting leave applications with dates that are in the past.

3. Hiring Settings

3.1 Check Vacancies On Job Offer Creation

When creating a job offer for a specific position, the system checks the available vacancies in the staffing plan for that position to notify the user if there is a risk of overhiring for that position.

4. Employee Exit Settings

4.1 Exit Questionnaire Web Form

The Exit Questionnaire Web Form field typically contains a link to a web form where employees can provide their feedback. The web form is customized to include specific questions and fields relevant to the exit process and the organization's requirements.

4.2 Exit Questionnaire Notification Template

When an employee decides to leave an organization, the exit process may involve requesting them to provide feedback through an exit questionnaire. The Exit Questionnaire Notification Template allows the organization to create a standardized email or notification that is sent to the employee, informing them about the exit questionnaire and providing instructions on how to access and complete it.
